Each purchase order checked against the customer’s contract before it reaches the ERP.

What we do

Automate operations

AI workflows for orders, invoices, inboxes, reporting and compliance, built into your ERP and email and tested on your real transactions. When the work needs its own application, we build that too.

Includes: process mapping, data cleanup, the AI workflows and integrations, and custom applications such as review queues, internal tools and client portals.

Private AI environments

A private, governed AI environment in your own cloud account or on your servers, so your staff can use AI on real work and your data stays under your control.

Includes: the environment, access controls and logging, assistants that answer from your own policies with citations, usage policy.

Manage and improve

We run what we build, and AI systems you already have, with monitoring, fixes as your systems change, and a monthly scorecard.

Includes: operations, accuracy work, model and prompt updates, new workflows when you're ready.

Fractional AI leadership

A fractional Chief AI Officer for companies where AI is a board topic but not yet anyone's job.

Includes: the AI roadmap, governance, vendor review, reporting to the board or the regulator.

More work handled by the team you have, with every step on the record.

    Sample scenario, invented data.

Four streams of work in. One checked stream out.

Orders, invoices, emails and forms arrive however your customers and vendors send them. The system reads each one and checks it against your records. Most clear on their own under the rules you agree; the exceptions go to a named person.

The work we take on, and what your team keeps

High-volume, rule-bound work, wherever it sits in the back office. If people key it, check it or chase it by hand, we can build for it.

AreaWhat the system doesWhat your team keeps
Order to cashPurchase orders and quotes, order entry, cash application, collections, disputesReads orders in any format, checks items and prices against the contract, prepares the entry in your ERP, matches payments to open invoices, and drafts follow-ups in your tone.Pricing exceptions, credits, write-offs and the customer call.
Operations and supply chainSupplier order acknowledgments, expediting, quotes for engineered products, submittals and change orders, project status reportsReads supplier and project paperwork, checks it against the order, the drawing or the schedule, chases what's late, and drafts the status report.Engineering judgment, supplier decisions and what the customer is told.
Banking operationsLoan file intake and document chase, deposit operations exceptions, account maintenance, answers for frontline staffCollects and checks loan documents, drafts the next request, works exception queues, and answers staff questions from your own policies, with citations.Credit, pricing and account decisions.
Procure to payInvoices, three-way match, vendor onboarding, vendor questions, bank-detail changesMatches invoices to purchase orders and receipts, sorts exceptions by cause, drafts the vendor questions, and holds any change to where a vendor gets paid.Approving payments and vendor changes.
Record to reportReconciliations, month-end close, recurring reports, variance commentary, journal entriesReconciles accounts, assembles the numbers on schedule, flags what moved, and drafts the commentary and the entries for review. The judgment and the sign-off.
Inboxes and requestsShared inboxes, customer requests, service tickets, intake formsSorts every message by type and urgency, routes it to the right queue, and drafts the reply.Anything unusual, and the send button.
Documents and complianceContracts, leases, policies, filings, audit evidenceReads each document, checks it against its rules, and cites the page.Every decision the rules leave to a person.

If a product you can buy today does the job, buy it. We'll tell you when that's the case.

Asked to cut a corner, it stops.

And it hands the decision to the person who owns it.

It held the payment, flagged the mismatch on the vendor record, and drafted a callback task for a named person.

Checking who is allowed to do this
The accounts payable assistant declining to change a vendor's bank details from an email: it held today's payment, flagged the mismatch on the vendor record and drafted a callback task for a named person.

    Sample scenario, invented data.

Someone asks it toWhat it does instead
Change a vendor's bank details from an emailed requestHolds the change and the payment, flags the mismatch, and drafts a callback to a number already on file.
Plug a trial balance that is $1,250 out of balanceStops that entity and drafts a question to the bookkeeper.
Approve a credit above the customer's limitRoutes it to the person with that authority, with the account history attached.
Send customer records to an outside partyDrafts a consent request first and waits for approval.
Send a follow-up, counteroffer or statement on its ownDrafts it and waits for a person to approve.

      Diagnostic

2 to 3 weeks, fixed fee

We measure what one process costs you today, run the system on a sample of your past work, and give you a fixed quote. You see the math before you sign.

The diagnostic screen: processes ranked by what they cost today and how well they fit, ending in a fixed quote.

      Build

6 to 12 weeks, fixed fee

One workflow, inside your systems, including the data and process fixes the system needs first. Tested on your real transactions, with a review queue for your team and a way to stop it at any time.

The build screen: the delivered system and the review queue the team works from.

      Manage

      Monthly

We operate it: monitoring, updates, fixes as your systems change, a monthly report on volume, accuracy, cycle time and cost, and new workflows when you're ready.

The monthly scorecard: what the system handled, what went to a person, and how long it took.
Every month you get a scorecard: what the system handled, what went to a person, how long it took.

Every phase is a fixed fee, quoted after our first conversation. If the scope is already clear, we can start at Build or Manage.

Your environment, your people, every step on the record

    1. Environment

It runs in your AWS, Azure or Google Cloud account, or on your own servers.

    2. Certifications

Our engineers hold AWS, Google Cloud and Azure certifications.

    3. Decisions

Every exception goes to a named person at your company, and they make the call.

    4. Audit log

Every step the system takes is logged with the time and the detail.

    5. Your data

We don't train models on your data.

    6. Ownership

What you can keep using, the code and documentation you receive, and the handover help we provide are set out before work begins.

    7. Security

We work inside your access controls and complete your security review.

    Who we work with

Companies whose back office has to keep up with the business.

We work across manufacturing, distribution, financial services, real estate and professional services.

IT service providers, resellers and accounting firms: add AI engineering to what you offer your clients. We build and run it under your relationship with the client. See partnerships

    Built by operators

Four to One is a partnership of operators. Our partners have run technology inside a regulated financial institution, led acquisitions and integrations at a public AI company and a global technology distributor, and spent more than 25 years building enterprise software and AI, including at IBM. A partner leads every engagement, and access to client data and production systems stays in the US.

    Questions we get asked

    Does this replace our staff?

It takes on the routine part of a process, so the people you have can handle more volume. What you do with the time is your decision.

What if the AI gets it wrong?

Anything outside the agreed rules goes to a named person on your team before it's entered or sent. Every step is logged. If the system stops, the work falls back to your team's queue.

    Where does our data go?

It stays in your environment: your cloud account or your servers. We tell you in writing where every step runs and which model services, if any, are involved. Access to client data and production systems stays in the US.

How long until something is live?

The diagnostic takes 2 to 3 weeks. The first workflow goes live 6 to 12 weeks after that.

Why not use our IT provider or a larger firm?

Most IT providers keep your systems running but don't build AI, and larger firms often deliver a roadmap and leave the building to someone else. We do both: we build the system inside your environment and run it afterward, with a partner on every engagement. We work alongside your IT provider, not instead of them.

What if we decide to end the engagement?

Before work begins, the agreement sets out what you can keep using, the code and documentation you receive, and the handover help we provide. You know in advance what your team or another provider would need to take it over.

Bring the pile that costs you the most.

In 30 minutes we'll tell you whether it's worth a diagnostic, and what the first pass would look like on it.
